When dealing with online leads coming from your website, Zankyou Storefront, WhatsApp or email, there are 4 important elements to keep in mind to book more weddings:
1. Respond (always) to couples in a timely and professional way
2. Personalise your messages – weddings are a very personal matter!
3. Finish with a CTA (or call to action)
4. Always do a follow-up
Respond (always) to couples in a timely way
The first thing to take in mind in whether the inquiry comes from your phone or from a web-form submission. The first thing to do for phone inquiries is to prepare your voicemail greeting (professional and promoting your company) of no more than 15 seconds. You should also plan your first phone greeting.
When you and the caller engage in a conversation you can determine whether you are a good match for each other. You should mention that you have additional informations you can email them, and ask for permission to use it. That way, you can add his/her contact to your database for further communications.
Responding to online inquiries
As for web or your Zankyou storefront leads, the first step you should focus on is to create an “autoresponder” by either a message or an email. If you don’t have an “autoresponder”, get one. It should be attractive and professional, providing information about how quickly someone will respond and provide general information about your company (if it’s a third-party source, such as a Zankyou article, the better, as it strengthens your status as a trusted advisor) while congratulating the couple. Telling them you’re reviewing their inquiry to answer with a personalised answer ir recommended.
How you respond to an online form submission is your decision – via email, direct message or phone call. Always thank the person for contacting you. Include relevant information related to your services and (if you’re answering through a written message), request permission to call the person. Keeping couples in your sales funnel is your main objective.
And remember, response time matters (a lot).
Respond to everyone!
Reply to every couple that writes, even if you’re not available or you don’t feel like they will be a right fit for you. You can reply with a recommendation to a fellow professional or talk about your available dates.
Finish with a CTA (or call to action)
End your response with a clear next step for them and what yours will be (sending them a questionnaire or a pdf with more information, arranging a meeting, etc). It is important to keep going foward with the sales funnel.
Try to do follow ups
Stay top of mind by doing follow ups days between (never weeks): try to do so by writing small and simple messages, and then try to do so by a different method (by phone or sending a reply to another email adress you might have). Doing this follow ups on a timely manner is of great importance.
