The first thing to take in mind in whether the inquiry comes from your phone or from a web-form submission. The first thing to do for phone inquiries is to prepare your voicemail greeting (professional and promoting your company) of no more than 15 seconds. You should also plan your first phone greeting.

When you and the caller engage in a conversation you can determine whether you are a good match for each other. You should mention that you have additional informations you can email them, and ask for permission to use it. That way, you can add his/her contact to your database for further communications.

Include relevant information related to your services and (if you’re answering through a written message), request permission to call the person. Keeping couples in your sales funnel is your main objective.

End your response with a clear next step for them and what yours will be (sending them a questionnaire or a pdf with more information, arranging a meeting, etc). It is important to keep going foward with the sales funnel.

Try to do follow ups

Stay top of mind by doing follow ups days between (never weeks): try to do so by writing small and simple messages, and then try to do so by a different method (by phone or sending a reply to another email adress you might have). Doing this follow ups on a timely manner is of great importance.
